Continuous Enrollment

Continuous enrollment eliminates the tedious process of filling out online enrollment forms every year and creates a simple opt-out option to withdraw from Shalom. With continuous enrollment, your child's enrollment contract will remain in effect from the initial year of enrollment until:

(1) he or she graduates from Shalom, or

(2) you opt not to have the contract renewed for an upcoming school year.

Simplicity. Guaranteed placement. 

With increasing enrollment, we are either at or near waitlists in many of our grades. Placement in next year’s class is an increasingly sought-after spot. Continuous enrollment means you will be locking down that coveted seat for your child until graduation.

Here is the policy language -

I hereby opt into continuous enrollment. I understand that my child will be continuously enrolled from their initial admission to Shalom Christian Academy until they graduate. This means that my Shalom student will keep coming back to Shalom every year unless I tell the school otherwise.

I understand that I have until the end of February every year to notify Shalom Christian Academy’s Admissions Office of any changes in my plans of enrollment for my child. Shalom Christian Academy hereby reserves the right to discontinue the continuous enrollment system at any time.

I understand that as part of continuous enrollment, my child’s information (i.e. address, phone number, emergency contacts, and medical information) is continuous from grade to grade in FACTS. I hereby agree to keep my  child's information accurate and up-to-date.|

If I breach this contract by disenrolling my child after February 28, I understand I will lose the continuous enrollment fee and penalties will be applied per the late withdrawal policy. 

For Current Families

• You will receive a continuous enrollment email around February 1 each year, reminding you that you are already enrolled at Shalom and providing links to the upcoming year’s Schedule of Tuition and Fees and affordability and financial assistance information. This will include a reminder, if you intend to withdraw, to submit your notice to the school by completing and submitting the Intent to Withdraw form on or before February 28. 
• No action will be required if your children will be at Shalom Christian Academy the following year, and the continuous enrollment fee will automatically be billed to your FACTS account on March 1 of each year.
• All students who have not notified the Admissions Office on or before February 28 will be re-enrolled for the next school year on March 1st.  
• Each summer, before school begins, families will receive an email with directions on how to update family information in FACTS.
   

You do not need to do anything! Your child(ren) will automatically be re-enrolled March 1st if we don’t hear from you indicating your desire to leave Shalom.

You may wait to decide until after the opt-out window, however your Continuous Enrollment fee is non-refundable and penalties will be applied after May 31.  

You may submit the Intent to Withdraw form on or before February 28 to avoid paying the Continuous Enrollment fee. You may re-enroll later, if there is space available.
 

Shalom Christian Academy reserves the right within its sole discretion to discontinue enrollment of a student if the atmosphere or conduct within a particular home or the activities of the student are counter to or are in opposition to the biblical lifestyle the school endorses in its By-Laws and Confession of Faith.
 

Policies are detailed in the Parent Student Handbook, which can be found in the Shalom Parent Portal. It is the parents’ responsibility to review the handbook for any policy changes.

Tuition will be published on the website by February 1 prior to the opt-out window. 

Our goal is to have any policy changes shared by May 31. 

The timeline for the payment for the continuous enrollment fee and withdrawal process will be published in Shalom’s Parent Portal through All Parent News & Important Announcements post.

The typical re-enrollment season (January-February) will be a series of communication reminders from the Admissions Office. This provides an opportunity and reminder for families that might be thinking about withdrawing from Shalom to notify us by the end of February.  

Yes! All students in PreK - 11th grade will automatically be continuously enrolled unless families communicate with us that they will no longer be returning to Shalom for the following school year through the Intent to Withdraw form located in the Shalom Parent Portal. 

       In July, parents will receive a link to update their child’s demographics, transportation needs, contact information, etc.  
 

The Continuous Enrollment fee lets Shalom know that you are committed to having your children enrolled with us for the next school year. It is nonrefundable and holds your place for enrollment the following year.

This fee will be automatically billed to your FACTS account on March 1st. The deadline for paying the Continuous Enrollment fee is on or before March 31st. 

Your child's enrollment spot is no longer guaranteed once the billed continuous enrollment fee becomes overdue.

Shalom Christian Academy makes decisions related to hiring staff, classes, and purchasing curriculum and materials based on anticipated enrollment. Your future plans influence our current decisions.

If you choose to withdraw from Shalom for the next school year, please do so by completing and submitting the Intent to Withdraw form. Please be mindful of the following dates:

• On or before May 31:  You will forfeit the non refundable Continuous Enrollment fee and will not be contractually obligated to pay for next year’s tuition or fees.
• On and after June 1: You will forfeit the non refundable Continuous Enrollment fee and will be contractually obligated to pay the tuition and fees for each child per the schedule below: 
  • Between June 1 and the end of the first marking period, you are responsible for tuition through the end of the first marking period tuition plus a 25% penalty.
  • During the second marking period, you are responsible for tuition through the end of the second marking period plus a 15% penalty.
  • During the third marking period, you are responsible for tuition through the end of the third making period plus a 10% penalty.
  • During the fourth marking period, you are responsible for full year tuition with no penalty.

Shalom will post an updated Schedule of Tuition and Fees on our website around the middle of January every year. A reminder will go out with a link to this information. 

Currently enrolled families may complete their annual application for financial aid starting January 1. New families may apply at any time, but the application will not be processed until the student has been accepted for enrollment.

Financial aid is awarded on a rolling basis to qualified families. You are encouraged to not delay completing your application.

The Business Office will email additional information about the financial aid process as it relates to continuous enrollment to Shalom families currently receiving aid. If you are applying for the first time or have additional questions, please contact jhoover@shalomca.com.
 

To withdraw your student at any time for the current or following academic year, you must complete and submit the Intent to Withdraw form, located in Shalom's Parent Portal.

Requests for the transfer of student records and year-end report cards will be processed only when a student's account with Shalom is paid in full.

Yes, financial aid applications still have to be submitted through FACTS every year to receive aid for the successive school year.

All accounts must be kept current to receive a schedule, a guaranteed seat in class or records. Shalom reserves the right not to guarantee your child class placement or not renew your contract if there is an overdue balance.
